Overview
The Head Office Operations Manager is responsible for optimizing administrative processes and team effectiveness within the operations department. This role involves managing staff, data, reporting, analytics, and customer complaints while engaging with stakeholders across various departments. The goal is to enhance operational efficiency through effective communication, problem-solving, and execution of assigned tasks.
Responsibilities
Administrative Support
- Provide administrative support to the Head of Operations, including organizing tasks, scheduling meetings, and ensuring operational needs are met.
- Screen emails, organize activities, and handle reporting and deadlines.
- Manage logistics and follow-up on meeting requirements and minutes.
Stakeholder Engagement
- Engage with multiple stakeholders to receive and act on daily instructions from the Executive Head of Operations.
- Communicate effectively in writing and verbally with key stakeholders.
- Resolve queries within the level of authority and report critical matters to the Head of Operations.
Team Management & Follow-Up
- Manage own staff effectively, ensuring daily data accuracy, and following up on business data requirements.
- Track and manage customer complaints, ensuring resolution within SLA.
- Ensure compliance with operations reports, leave, travel, property matters, audits, and labor relations issues.
Data Analysis
- Retrieve, screen, analyze, and interpret data and information for accuracy.
- Prioritize, summarize, and consolidate information for operational decision-making.
Problem-Solving & Solutions
- Identify possible solutions and provide recommendations and resolutions to the Head of Operations.
- Analyze reports and data to ensure accuracy and completeness, and provide detailed recommendations.
Experience
- 3 years of commercial-related experience, ideally in the Microfinance sector.
- 3 years of management experience.
- Advanced business communication skills (written and verbal).
- 3 years of advanced computer literacy, particularly in Excel, Word, and Qliksense.
Qualifications
- Grade 12.
- Degree, Diploma, or relevant qualification in Business, Operations, or a related field (NQF 6).
